TERMS & CONDITIONS

Zeo Holidays provides tour packages to Nepal, Tibet, Bhutan, and India under standard regional travel industry terms. Based on 2026 travel regulations and common practices for Himalayan tour operators, the following terms and conditions typically apply:

 

1. Booking and Payments

  • Deposit: A non-refundable deposit is required at the time of booking to secure reservations. Standard rates are typically 20% for Nepal trips and 40% for Tibet, Bhutan, and India packages.
  • Final Balance: The remaining balance must be paid before the trip departure. For Nepal, this is often accepted upon arrival in Kathmandu, while Tibet and Bhutan packages generally require full payment 30 days prior to departure.
  • Payment Methods: Accepted forms of payment include bank wire transfers and major credit cards (Visa/MasterCard), often subject to a 4% processing fee

 

2. Documentation and Visas

  • Passport: All travelers must possess a passport valid for at least 6 months beyond the trip’s end date.
  • Nepal Visa: Generally available upon arrival for most nationalities.
  • Tibet Permits: Entry to Tibet requires a Tibet Travel Permit in addition to a Chinese visa. In 2026, foreign tourists must travel through a registered agency, and permit applications can take 30 days.
  • Bhutan Visas: All visitors (except Indian, Bangladeshi, and Maldivian nationals with specific permits) require a visa processed through a registered operator, along with proof of payment for Bhutan’s Sustainable Development Fee (SDF)

 

3. Cancellation and Refund Policy

Cancellation fees are calculated based on the timing of written notice before the departure date: 

  • 30+ days notice: Usually only the non-refundable deposit ($500) or a small processing fee is retained.
  • 15–30 days notice: Typically 50% of the total tour cost is charged.
  • Less than 15 days notice: Generally 100% non-refundable.
  • Unused Services: No refunds are provided for missed meals, accommodation, or segments of the tour not utilized by the traveler. 

 

4. Travel Insurance

  • Mandatory Requirement: Comprehensive travel insurance is strictly recommended (and often mandatory) for all travelers. It must cover emergency medical expenses, personal accidents, and high-altitude helicopter evacuation. 

 

5. Itinerary Changes and Force Majeure

  • Unforeseen Circumstances: Zeo Holidays is not liable for changes or cancellations caused by "Force Majeure" events, including natural disasters, political instability, landslides, or flight delays due to weather.
  • Itinerary Flexibility: The company reserves the right to modify routes or accommodations for the safety and comfort of the group. Any extra costs incurred due to these changes are the responsibility of the traveler.
